Role Summary
Reporting to the General Manager, Investor Relations, the Team Coordinator, Investor Relations provides the coordination and operating support that keeps the IR program moving: the calendar, meetings, materials, CRM, register, disclosure workflow, adviser coordination and interfaces with Legal, Finance, Communications and Company Secretary.
This is a meaningful coordination role, not a general administration role. It is suited to someone with 5+ years of experience who is organised, discreet, curious and able to bring structure to complex work while continuing to develop judgement in a listed-company environment.
The role works closely with the Senior Manager and GM, IR, providing the cadence, workflow and information discipline that allow investor engagement, reporting and disclosure processes to run well.
Key Responsibilities
IR Calendar, Meetings and Roadshow Logistics
- Coordinate the IR calendar, including results, trading updates, AGMs, investor days, roadshows, conferences and one-on-one meetings.
Materials, Disclosure Workflow and Document Control
- Coordinate production, version control and sign-off tracking for investor materials, ASX announcements, presentations, annual reporting content and shareholder communications.
- Support the disclosure workflow in partnership with Legal and Company Secretariat, including trafficking drafts, tracking comments, managing sign-off checklists and coordinating ASX release logistics.
- Coordinate investor website updates, webcast logistics, presentation uploads and digital investor materials with Communications, Legal, IT and external providers.
Investor CRM, Register and Data
- Coordinate the day-to-day operation of the investor CRM, including logging interactions, maintaining contact records, and running reports for management and the Board.
- Coordinate shareholder register monitoring, share registry requests, targeting lists, proxy adviser tracking and analyst coverage records.
Stakeholder Coordination and Team Support
- Coordinate with capital markets advisers, legal counsel, PR advisers, share registry and other external providers on process, timelines and deliverables.
Skills & Experience
Essential
- 5+ years of experience in coordination, program management, executive support, corporate affairs, capital markets operations or corporate access, ideally in a listed-company, transaction, professional services or investment banking environment.
- Demonstrated ability to coordinate multi-stakeholder processes involving senior executives, external advisers, legal counsel, governance stakeholders or investors.
- Strong written communication, attention to detail and document discipline, including the ability to produce executive-ready materials and maintain clear version control.
- Strong organisational skills across calendar management, travel, events, workflow tracking, meeting preparation and follow-up.
- Familiarity with IR, governance or capital markets operating tools and processes, including Microsoft 365, IR CRM tools, share registry platforms, market data services, virtual data rooms or equivalent systems.
- High discretion, sound judgement and experience handling confidential or market-sensitive information appropriately.
- Curiosity, structured problem-solving and comfort working through unfamiliar tasks where there is no obvious template.
- Experience supporting Board, Company Secretary, governance, investor meeting, roadshow, event or cross-time-zone coordination processes.
Desirable
- Exposure to technology, infrastructure, energy, AI, data centres or other complex project-based sectors.
What we are looking for
We are looking for someone who brings high standards, sound judgement and ownership to a coordination role at the centre of a busy IR function. The role provides operating leverage to the GM, IR and Senior Manager, IR with close exposure to how investor messaging, disclosure processes and market engagement come together.
The right person communicates clearly, learns quickly, improves process, and brings structure to complex work. You are proactive, organised and reliable, with the judgement to know when to move forward and when to pause, check and escalate.
